This page provides our Terms & Conditions and Fee Disclosures for the public, including bookings made through NCTP and bookings made via supplier co‑branded links on our website.

1) Our Role & Supplier Terms (Including Co‑Branded Links)

NCTP provides travel planning and booking assistance and may also provide co‑branded links, widgets, or booking tools that connect you directly to third‑party travel suppliers such as airlines, hotels, resorts, cruise lines, tour operators, transportation providers, and travel protection providers (collectively, “Suppliers”).

When you book travel, you are purchasing travel services provided by Suppliers. Supplier performance is outside NCTP’s control. All bookings—whether arranged by NCTP or booked directly using co‑branded supplier links—are governed by the Supplier’s own terms and policies (including payment schedules, fare rules, change/cancellation penalties, refund/credit rules, and deadlines).

Direct supplier bookings via co‑branded links: If you click a co‑branded supplier link and complete a booking directly with a Supplier, the Supplier (not NCTP) typically collects payment and issues confirmations. In those cases, NCTP is not the merchant of record and is not a contracting party to that Supplier booking unless NCTP separately agrees in writing to provide additional planning/servicing for that trip.

2) Planning / Service Fees (Discretionary; Non‑Refundable)

All trips may be subject to a service or planning fee at the agent’s discretion, depending on the complexity and how detailed the trip is.

  • Service/Planning fee range: $50 to $3,000, depending on trip type and complexity

  • Non‑refundable: All planning and service fees are non‑refundable, even if you cancel, decide not to travel, or choose not to book

3) Airfare Booking Fees (Per Booking; Non‑Refundable)

If you request NCTP assistance with airfare booking/ticketing:

  • Domestic airfare booking fee: $75 per booking

  • International airfare booking fee: $150 per booking

  • Group Airfare Subject to Group Airfare Fees Dependent on Number of Guests - Groups count as 8+ Guests.

These fees are separate from the airfare cost and any airline penalties, fare differences, change fees, or refund restrictions. Airfare booking fees are non‑refundable.

4) Cancellations & Changes

  • NCTP cancellation fees: We do not charge a separate cancellation fee.

  • Supplier penalties may apply: Suppliers may impose cancellation penalties, change fees, fare differences, refund restrictions, and deadlines.

  • Planning/service fees remain non‑refundable regardless of Supplier refundability.

5) How Service Fees May Be Charged (Outside Agents / Supplier Direct)

Service fees may be charged either through our host agency, Outside Agents, or through the Supplier directly, depending on the booking channel/product.

Outside Agents / PayPal statement descriptor disclosure:
You may receive a simple email receipt from PayPal listing a payment to OUTSIDEAGENTS. You may only receive an email if PayPal has your email address associated with prior charges in its system. The charge may appear on your credit card statement as *PAYPAL TRAVEL AGENT.

6) Traveler Responsibilities

You are responsible for:

  • Providing accurate traveler details (names must match government-issued identification) and promptly reviewing confirmations for accuracy

  • Ensuring passports, visas, vaccination/entry requirements, and documentation are valid and sufficient for travel

  • Complying with Supplier rules and applicable laws

7) Travel Insurance / Travel Protection

Travel insurance/travel protection is strongly recommended. If you decline coverage, you assume the risk of financial loss due to cancellations, medical issues, interruptions, missed connections, weather events, Supplier disruptions, or other travel-related events. Coverage terms, exclusions, and claims decisions are determined by the insurance provider.

8) Limitation of Liability

To the maximum extent permitted by law:

  • Liability cap: NCTP’s total aggregate liability arising from or relating to the services will not exceed the lesser of (a) fees paid by you to NCTP in the 12 months before the event giving rise to the claim, or (b) USD $2,500.

  • Excluded damages: NCTP will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits/revenue, business interruption, reputational harm, or data loss.

  • Supplier failures excluded: NCTP is not liable for delays/failures caused by Suppliers or external providers.

  • Force majeure excluded: No liability for events beyond reasonable control (e.g., natural disasters, strikes, war, government actions, internet/power failures, supply chain disruption).

  • Traveler negligence/misuse excluded: No liability for issues caused by your negligence, inaccurate inputs, late approvals, misuse of deliverables, or unauthorized modifications/third‑party combinations.

  • Direct supplier bookings via links: NCTP is not liable for issues arising from bookings made directly with Suppliers through co‑branded links, including pricing errors, confirmations, schedule changes, cancellations, overbooking, service failures, or refund/credit decisions.

9) Indemnification (Hold Harmless)

You agree to defend, indemnify, and hold harmless NCTP and its affiliates, officers, employees, contractors, and agents from third‑party claims and related losses/fees arising out of or relating to:

  • your content, data, instructions, or materials (including alleged IP/privacy violations), and/or

  • your (or your users’) misuse of deliverables, use outside scope, unauthorized modifications, or unlawful/non‑compliant use

10) Early Termination

  • For convenience: Either party may terminate services with 30 days’ written notice (unless otherwise stated in writing).

  • For cause: Either party may terminate immediately for material breach not cured within 15 days after notice, or insolvency.

  • Amounts due: Upon termination, you pay for services performed through the termination date plus any approved, non‑cancellable Supplier charges. Planning/service fees remain non‑refundable.

12) Governing Law

These terms are governed by the laws of New York, United States, without regard to conflict of laws rules.
